As an Executive Assistant based in Singapore, you will play an integral role in supporting the Head of Asia while ensuring seamless administrative operations across multiple jurisdictions. Manage complex diary arrangements for the Head of Asia, including scheduling meetings across multiple time zones, coordinating recurring bookings via video conference or telephone, arranging catering and room set-up as required. Process invoices and expenses using online systems such as Chrome River, ensuring accuracy and timely submission while liaising closely with the Finance team on billing matters. Build strong relationships with both internal stakeholders and external clients on behalf of the Head of Asia and wider team, acting as a key point of contact for routine correspondence and queries. Organise travel itineraries and hotel bookings for senior leaders; prepare detailed meeting minutes; handle regular archiving and photocopying duties to maintain efficient office operations. Assist with time recording processes by ensuring all entries are up-to-date; support billing and credit control activities by producing standard financial reports through relevant systems. Liaise with local authorities in Singapore and other Asian offices regarding regulatory issues in conjunction with Office Managers; ensure compliance with all necessary legal requirements. Work closely with Compliance teams on anti-money laundering (AML) policies; help manage CPD records for fee earners across the region by collaborating with office heads. Schedule weekly meetings with Business Development (BD) leads in Asia; coordinate directory submissions, awards applications, seminars, conferences, speaking engagements, and ensure BD materials are current. Coordinate regular partner meetings across Asia as well as bi-annual strategy sessions; support Office Managers in organising fee earner meetings throughout regional offices. Attend global operations meetings; take comprehensive minutes; distribute action points; follow up on agreed actions; prepare presentations and papers for leadership review.
Develop and maintain mobile apps for the largest and leading eCommerce company in Hong Kong. Remain up to date with the terminology, concepts, and best practices for coding mobile apps. Work closely with colleagues to constantly innovate app functionality and design. Write unit and UI tests to identify malfunctions and enable project growth. Troubleshoot, debug, and enhance apps to deliver optimal performance. Communicate with users to understand their workflows, needs, and experiences.
